Diaconate Meeting Minutes                                                               September 9, 2009

Attendance: Bob Macallister, Cindy Nickerson, Sara Baker, Syd Bare, Linda Baker, Kathy Sullivan, Dave Wilbur, Gail Munro, and Rev. Terry.

Bob opened the meeting.

Rev. Terry spoke on recent building changes with respect to the improvement in our music programs.

We need to add a new Deacon of the Day responsibility, to pull the curtains back in the sanctuary for better acoustics.

We also discussed serving rice wafers with communion bread so that more people can participate in communion service.  Regular bread can endanger health of people with certain medical conditions.

We discussed the ongoing issue of noisy conversation in the sanctuary before the service; The congregation is still not following our request for quiet.  We agreed to try again to get congregation to observe silence when the music Prelude begins.

Rev. Terry agreed to do the special Thanksgiving service again this year, because it was well received last year, and we asked.  However, after this year he prefers to limit the special service to every other year at most.

Minutes: motion by Sara to accept, 2ndd by Cindy, approved unanimously.

Treasurer Report: Bob reported for Carl, no change in our balance over the summer.

Old Business:    Sara mentioned how much we appreciated Eli Terry ‘s visit and his report to the congregation how his unit appreciated the Shoe Box project.

We discussed encouraging the mission committee and church to a similar mission project again, perhaps for overseas troops, after the holidays, when other groups may be less apt to be doing the same.

We discussed that the Tiny tots rooms is available almost every week, with adult supervision. Deacon of the Day must check with Mary Jane Garneau each week to see if she is available to supervise. She usually sits in the balcony.

Our committee must still submit a goal for this year. We will continue discussion on this next month when more of the committee can be present.

Dave will send out list of past Diaconate members before the next meeting.

New Business:   Deacon of the Day Schedule:

September 13:  Syd Bare

September 20: Linda Baker

September 27: Kathy Sullivan

Communion Sunday October 4:  Sara Baker, David Wilbur

We want to go on record to thank Larry for his service as the Sunday Sexton, he was very helpful and we thank him.  He decided to leave the position so he could sit with his wife Pam during Sunday service.  We will miss him.

Dave will update the Deacon of the Day Responsibility sheet and resend to committee.

Committee agreed to make specific request to House committee to find another Sunday Sexton. We don’t have a weekend Sexton on either Saturday or Sunday to help with setting up for Sundays.  Some of the physical demands may keep potential committee people from participating as Diaconates and increased sense of security during the service are two main reasons to make this request.

We need to remember the front door operates and locks differently now.  The push button open and automatic close feature requires unlocking both left and right doors and flipping on a power switch to the door opener.    Before leaving we need to turn of the power to the door opener and the engage the vertical bar before turning the dead bolt.  IMPORTANT: if Deacon of the Day, for any reason, ever feels uncomfortable leaving the front doors unlocked we all agree the doors may be locked during the service.

Each committee member needs to consider and bring their decision about serving another term on the Diaconate Committee to our next meeting.  After a two-year term each of us is eligible to serve another two-year term.  The nominating committee has asked for this information.

Sara closed our meeting with “It's Strange, Isn't It?".

Our next meeting will be Wed October 7, Cindy will close that meeting.

Meeting adjourned about 8:20pm.

Respectfully submitted,

David Wilbur
